Phone Call Schedule Assistant for Microsoft Dynamics CRM 2011

Follow up and schedule your Phone Calls automatically in Microsoft Dynamics CRM 2011.

 

One of the functionalities I really like in Microsoft Dynamics CRM 2011 is the ability to utilize a robust set of options to create a recurrent appointment. This is really useful if you know you have a meeting with the same customer multiple times following a pattern and would like to schedule them in advance. The problem with this is that sometimes these appointments are Phone calls and if reporting on phone calls made is important for the organization it can represent a headache.

 

Also, how many times do we open a scheduled Phone Call record in Microsoft Dynamics CRM 2011 and the person on the other side decides to re-schedule or maybe you ran out of time and you would like to quickly and efficiently schedule a follow up to your call?

 

With this in mind, Zero2Ten has created the "Phone Call Schedule Assistant". This solution will allow you to accomplish three things:

  1. Configure a Follow-Up call.
  2. Configure a Recurrent Phone call within a Time Range
  3. Configure a Recurrent Phone call based on amount of occurrences.

 

This solution will create a new tab, section and fields on the phone call form that will allow you to configure the three scenarios described above.

First Scenario: Follow Up Call:

Before marking a Phone Call as completed, select "Follow-Up" as your Call Type and set the time for the follow up:


 

Once you Mark the phone call as complete. A new Phone Call due on the "Follow Up On" date specified on the previous phone call record will be created. Notice how the notes added to the previous call will be shown:

 


 

Second Scenario: Recurrent Phone call within a Time Range:

To create a recurrent phone call within a time range (Example: Weekly Project status call for the next two months):

Select "Recurrent" as the Phone Call Type.

Select the "Frequency" of the call and ensure that the Recurrent Calls will end. Options include: Daily, Weekly, Bi-Weekly, and Monthly.

Select "Timeline" as your Schedule Limits.

Select the Time Range.


 

NOTE: In the example above, a phone call will be created weekly on the date range specified above; however, not all calls will be created automatically. Only the next call is visible. Once you mark the current call on the series as completed, the next call of the series will be created and the Notes from all previous calls on the series will be available on the next call.

Third Scenario: Recurrent Phone call based on occurrences:

To create a recurrent phone call within a time range (Example: Monthly Update Phone Calls for the next 12 months):

Select "Recurrent" as the Phone Call Type.

Select the "Frequency" of the call and ensure that the Recurrent Calls will end. Options include: Daily, Weekly, Bi-Weekly, and Monthly.

Select "Occurrences" as your Schedule Limits.

Set a number of occurrences.


 

NOTE: In the example above, a phone call will be created monthly for the amount of times specified above; however, not all calls will be created automatically. Only the next call is visible. Once you mark the current call on the series as completed, the next call of the series will be created and the Notes from all previous calls on the series will be available on the next call.

 

Notice also how an "Endless" phone call can be created by switching the "Endless" field to "Yes".
