If you haven't built your first sales funnel yet – this post is for you. The charts in Microsoft Dynamics CRM 2011 are very useful AND they are easy to build. Today we are going to build a chart like the one you see in the default Microsoft CRM Overview Dashboard.
Let's see how quickly we can put something together.
1. Create an Option Set
First, open an existing Opportunity click Customize on the Menu across the top and then choose Customize Entity. Now click on Forms and open the Main Form for the Opportunity Entity. In the lower right hand corner click New Field and in Display Name type "Sales Step" before tabbing down to Type. Select Option Set and then click on the + sign beneath Options to begin adding our stages. Let's use the following five steps:
- Needs Analysis
- Request for Proposal
- Proposal Delivery
Save and Close and you will be returned to the customization form. Drag the new Sales Step field onto the form then Save and Publish before closing the window.
2. Build a Sales Funnel Chart
In the Navigation Pane on the left, click on Charts and then New. Choose Open Opportunities as the View, name the Chart "My Sales Funnel" and in the Legend Entries list select Est. Revenue | Sum. In the Horizontal Axis list select our new field "Sales Step". Choose Funnel as the Chart type then Save and Close. Publish the entity and then close the customization window.
3. Test Your Chart
All that's left to do is navigate back to your Opportunities and edit a few of them to reflect the various Sales Steps we have created. Now expand the Chart window on the right hand side and select "My Sales Funnel" from the views at the top of the chart area.
If you have any problems getting this to work hang tight. I will be adding a video link to this posting later on today that will walk you through the exact scenario we covered above.
